3 elements of an effective business system

If you are like the majority of small business owners I speak with then you already know that creating business systems is the key to freedom, it doesn’t take a brain surgeon to figure that out. lol.

But, if you are like most of the small business owners I talk with you are also overwhelmed and struggling to create effective business systems too.

Creating systems are actually pretty easy when you realize that there are only 3 key elements to each system you create in your biz, it doesn’t even matter what the system is for.

It could be a follow-up system, lead generation system, scheduling system, back up system. It really does not matter.

The 3 elements are:

• The Tools – what software/technology is used in the process

• The Process – step-by-step instructions to complete a task

• The People – who is implementing various steps in the process

Simple right?

The place where I see most folks get hung up on is with the tools. If you are just starting out, or even if you have been in business for awhile sometimes you don’t actually use tools per say, it could an excel spreadsheet, or a google sheet, or it could be on an index card. The point is don’t get overwhelmed trying to figure out what tool to use to implement the system.

The truth is unless you do this on an everyday basis like I do with my clients and have tons of experience with what works for each scenario you may not know where to start with what the “right” tool is. That’s okay. You can do it manually with a spreadsheet.

For the longest time when I first started my business before I got all this fancy software/tools to do the job, I used a simple spreadsheet for my follow up system.

It does NOT have to be complicated, in fact, the less complicated the better, because chances are if it’s too complicated you won’t use it or you’ll need someone else to help you use it. And when you are trying to run a lean business that can be overwhelming in and of itself.

It’s kind of like using a firehose to fill your bathtub, it really doesn’t work and it would make you need all sorts of additional support you don’t really need if you just turned on the faucet.

It also helps a ton to get down the current system you are using now, the one that is not automated as it will help you to figure out what fancy system you actually need to implement, it will show you what is working and what is not working.

You see, systems don’t have to be scary or overwhelming when you break them down this way. 🙂
